These steps offer you a general overview of the basic setup and configuration procedures you will follow to get you started with Portfolio 4.5.1.
To set up Portfolio or SchoolRooms 4.5.1 for the first time
| 1 | Login to the Admin console using the default administrative username and password. (For more information, see Logging into the Admin console.) |
| 2 | Set up an administrative account for yourself. (For more information, see Creating a new administrative account.) |
Note: If you plan to designate any administrators to administer profiles, you can set up those up after you have created your search profile.
| 3 | Set up any SIP or LDAP authentication servers that you need to allow patrons to access Searching (optional). (For details, see Managing patron authentication.) |
| 4 | Modify the default search profile, or create a new one. (For details, see Creating a new search profile.) |
| 5 | Configure any languages for the search profile (optional). (For details, see Configuring languages for a search profile.) |
| 6 | Change how the default profile appears. Modify the custom display elements or change the theme as desired. (For details, see Changing the custom page elements for a search profile.) |
| 7 | Set up any administrative accounts (optional) that you want to access your profile. (For more information, see Managing administrative accounts.) |
| a | If you want to designate an administrator for this profile, create an account with a role that includes the PRIV_PROFILE privilege. (For details, see Creating a new administrative account.) |
When you create the account, you will be prompted to choose the profiles that you want the administrator to have access to.
| b | Log in to verify that the account has been created successfully. |
| 8 | Set up any search fields that you want to use in your search result or detail displays, as facets, or to match and merge data on from multiple Discovery source sites. (For more information, see Managing search fields .) |
| a | Modify any default search fields, or create new ones. (For details, see Adding or editing a search field .) |
| b | Specify a default MARC Map for each search field (optional). (For details, see Configuring a MARC Map for a parent search field .) |
| c | Specify any PDF field properties for any search fields that correspond with PDF data (optional). (For details, see Configuring PDF field properties for a search field .) |
| 9 | Set up any display codes. (For details, see Managing display codes .) |
| 10 | Set up the Discovery search source for your ILS. (For more information, see Managing Discovery search sources .) |
| a | Set up the SD_ILS Discovery search source. (For details, see Adding or editing a Discovery search source .) |
| b | Set up the SD_ILS Discovery source site for the ILS that you want to connect to and merge data from. Rename the SD_ILS source site to reflect the library or libraries within the site. Set up any other Discovery source sites that will access the SD_ILS Discovery search source. (For details, see Adding or editing a Discovery source site.) |
| c | Specify any MARC settings that you want to apply to any Discovery source sites associated with the SD_ILS Discovery search source. (For details, see Configuring MARC settings for a Discovery source site.) |
| d | Index the data for the SD_ILS Discovery search source. (For details, see Understanding search source tasks.) |
Running the index process helps to troubleshoot whether the Discovery search source and site is set up correctly. If the indexing process fails, then your Discovery search source is not set up correctly.
| e | If the indexing process is successful, edit the SD_ILS Discovery search source to specify a regular indexing schedule for the Discovery search source. (For details, see Adding or editing a Discovery search source .) |
| 11 | Set up the Library Search target to make ILS data searchable from specific profiles. (For details, see Adding or editing a Discovery search target.) |
| 12 | Make the Library Search target available to your search profile. Making a search target available to a profile allows patrons to search the search source associated with the search target. To make a search target available to a specific profile, you must both enable and assign the target to your profile. |
| a | Make the Library Search target available to be assigned to any profile. (For details, see Specifying search box options for a search profile.) |
| b | Select the Library Search target for your specific profile. (For details, see Selecting search targets for a search profile.) |
| 13 | Specify the facets that you want to display when patrons access your profile. (For details, see Configuring the facet display for a search profile.) |
| 14 | Set up your search result and detail displays, and then assign them to your profile. |

| a | Set up any enforceable or patron-selected search limits that you want to make available to patrons. Enforceable limits are limits that are automatically applied to a specific profile. | b | Assign any search limits to your profile. (For details, see Configuring search limits for a search profile.) |
| 17 | Set up the SD_ROOMS Discovery search target if you want to make rooms content searchable (optional). |
